How to use BISCAST QMS
Everything a student needs, from taking a queue number to collecting a finished document. Most of it works without an account — you only need one if you want a single page that tracks everything for you.
1. Slots, schedules and cut-off times
Each office decides how many people it can take in a day, and when it stops issuing numbers. Once a limit is reached the system stops accepting requests rather than letting a queue build that nobody can serve.

The live queue page shows how many slots each office has left today, updating on its own as numbers are taken.
2. Watching the queue
Open the live queue page on any device. It updates by itself — there is no need to refresh.
- Now Serving — the numbers being served, and at which window.
- Next in Line — everyone who can be called right now, listed separately for each window. Look for your own window's list: the people in the other lists are not ahead of you. Each number is marked Walk-in or with the time it was booked for.
- Pending — numbers that were called but nobody came forward.
- Slots left today — whether the office can still take anyone.
Type your number into Find your number and it tells you where you stand, updating as the queue moves. If your number is booked for a later time it says so plainly, and gives you the time calling will begin.
3. At the counter
When your number is called, go to the window shown on the board. Bring your school ID and any documents your transaction needs.
Some transactions finish at the counter — paying a fee, asking a question. Nothing is left over afterwards, so there is nothing to track and no reference number is issued.
Others leave the office with work to do: a document to prepare, sign and release. Only those are given a reference number, printed on your slip and shown on your ticket, and for those your visit is not over until you come back to collect. If your slip has no reference number, that is not a mistake — it means everything you asked for was finished while you were there.
4. Following your document
Keep the reference number from your slip. Enter it on the Track Request page at any time to see where your document has got to. The reference number is the tracking number — there is not a second one to remember.
Only transactions that produce a document carry one. The office decides which of its transactions those are, so if you were not given a reference number there is nothing waiting to be collected.
- Submitted — the office has your request.
- Under review / Processing — it is being worked on.
- For approval — waiting on a signature.
- Ready for claiming — collect it, bringing your school ID.
- Claimed — handed over. Finished.
Common questions
I took a number but could not come. What happens?
It is released after 50 minutes and marked expired. Take a new one when you can come — but note the one-per-day rule still applies.
My slip has no reference number.
That is normal for anything finished at the counter. A reference number is only created where the office keeps working after you leave — a document to prepare and release — because that is the only case there is something to track. Nothing is missing from your slip.
The office says it has no slots left. What can I do?
Each office has a daily limit that counts both online numbers and walk-ins. Once it is reached, no more numbers are issued that day. Come back tomorrow, or ask the office directly if it is urgent.
Why can I not take a second number today?
Online numbers are limited to one per student per day so that one person cannot hold several places. If you genuinely need another transaction the same day, use the kiosk in the lobby.
My ID number is not recognised.
The number is checked against the Registrar's records and has to match exactly, including any dashes. If it still does not resolve, you are not stuck: the page asks for your name instead and you can carry on without an ID number. The number you typed stays on the ticket so staff can match it to your record at the counter.
Identifying yourself by name means the emailed code is the only proof of who you are, so the one-number-a-day limit is counted against that email address instead. Worth telling the Registrar your record needs updating either way.
I did not receive the verification code.
Check your spam folder first. The code is only sent to an institutional address (@biscast.edu.ph or @astean.biscast.edu.ph), never to a personal one. You can request another after the resend timer ends.
Do I need an account to use any of this?
No. Taking a number, watching the queue and tracking a document all work without signing in. An account simply keeps them together on one page.
